Indicative Data

One of the most versatile features of a Diners Club Account is one of the most elementary - customer defined data fields. The information contained in these fields, which Diners Club refers to as "Indicative Data" is customer defined, meaning that your organization chooses what each field refers to, and how you choose to code the field, using up to ten alphanumeric characters per field. This enables your organization to sort and organize your transaction data for Accounts Payable, internal reporting, and external billing of travel expenses.

Each Level 10 Account can be coded with up to five Indicative Data fields. There is an almost unlimited number of ways to use them. The Indicative Data that many Diners Club customers currently track include:
  • Employee ID
  • Cost Center
  • Profit Center
  • Department
  • Division
  • Project Number
  • Client Assignment
  • Region/Location
  • Employee Title/Status
  • Home Office/Work Location
  • Supervisor Name
  • ATM Limit
  • Club Rewards Status Y/N
Your Diners Club Representative can help you determine the information you should track. If you decide to use Automatic File Maintenance, we recommend that one of the five fields be assigned to a Unique Identifier, such as an Employee ID. Outside of that necessity, your organization may use Indicative Data for almost any type of data you wish.

Indicative Data and Account Structure
How your organization uses Indicative Data fields will depend, in part, on the Account Structure you choose, since our system of "levels" may already provide for certain types of reporting capabilities. An example of this could include all Cardmembers (Level 10), reporting to a Cost Center (Level 20) within a Company (Level 30) that is part of a Parent Company (Level 40).

Wherever possible, it's beneficial for your organization to use Indicative Data for reporting purposes, rather than Account Structure. It's best to build your Account Structure around your billing needs, and to use Indicative Data for reporting purposes.

Updating Indicative Data
Once your organization has selected its Indicative Data categories, it is very simple to update the data for individual Accounts. For example, if you use an Indicative Data field to track Cost Center assignments, and a Cardmember moves from one Cost Center to another, you would simply email your Business Service Representative or call them at 1-800-964-9444, to notify them of the change. If there are a large number of simultaneous changes, it may be preferable to use Automatic File Maintenance to update the data. Your Business Service Representative can help you decide which method to use.

Changing Indicative Data Fields
If you choose to change the type of Indicative Data you track, Diners Club can work with you to easily modify your MIS data. Before you change your fields, you should be certain that the information you plan to track is current and maintainable. Then contact your Business Service Representative and we'll assist you in making the change. If your organization has over 200 Cards, it may be preferable to use Automatic File Maintenance to update the data.
